Orlando, FL

Position Summary:

This individual is responsible for providing oversight, supervision and training to Building Managers under their direct supervision, and actively participating in the management of the daily operations, maintenance, and compliance of medical office properties.  The individual’s duties include the following:   

 Essential Duties and Responsibilities:

  • Monitor vendors, routine maintenance, preventive maintenance, construction projects, and other operations of facilities.

  • Respond to tenants’ service requests and special needs; keep them informed of progress.

  • Ensure strong relationships are developed and maintained between tenants and all staff members.

  • Coordinate all necessary inspections and oversee corrective action in order to maintain regulatory compliance.

  • Perform preventive maintenance, testing and inspections of all systems and equipment.

  • Conduct routine walk through of the property and look for housekeeping and other maintenance issues.

  • Communicate with Portfolio Manager and assist with the budget and plans for daily and future operations.

  • Assists Portfolio Manager with the development of energy saving initiatives and other operational savings opportunities. Obtains proposals for those initiatives and submits to the Portfolio Manager with recommendations.

  • Order and maintain routine office and maintenance supplies.

  • Maintain files, manuals, and routine correspondence in the onsite management office.

  • Provide training to new building managers at other properties regarding company service philosophy, preventive maintenance, vendor management, supply ordering, Request for Proposal process, building information binders, safety procedures, etc.

  • Supervise and monitor building manager’s performance and assist Portfolio Manager with annual evaluation criteria ratings.

  • Provide ongoing mentorship and collaboration with team members by assisting with issues throughout the assigned portfolio.

  • Remain available for special projects that come up from time to time.  

  • Manage building management team’s schedules, including time off approvals and coverage. 

  • Conduct quarterly building walks throughout your portfolio and provide insight on improvement.

 Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office including Word, Excel, and Outlook.

  • Excellent interpersonal and communication skills.

  • Demonstrate traits as a self-starter, proactive manager, creative problem solver, and principal decision-maker.

  • Able to work independently and in a team environment.

  • Working knowledge of power and basic hand tools.

  • Basic knowledge of mechanical systems such as HVAC, plumbing, electrical, etc.

  • Ability to understand blueprints and schematics.

  • Ability to read and interpret Material Safety Data Sheets (MSDS).

  • Ability to plan and organize work process, projects, and maintenance tasks.

 Minimum Qualifications:

  • High school diploma or general education degree (GED); and three years related experience and/or training in building management, building services or other service industry.
