Position Overview:

The Lease Administrator is responsible for maintaining accurate lease data, administering lease-related financial activities, and supporting the Lease Advisory team. This role ensures lease information is properly abstracted, entered into property management systems, and monitored throughout the lease lifecycle. The ideal candidate is detail-oriented, analytical, and experienced in commercial lease administration, billing, reconciliations, and financial reporting.

Key Responsibilities:

  • Abstract commercial lease documents and maintain accurate lease data in property management systems
  • Manage critical lease dates, recurring charges, rent schedules, and tenant billing information
  • Prepare rent rolls, financial reports, reconciliations, and lease-related analyses
  • Review and reconcile tenant recovery charges, tax pass-throughs, insurance, and operating expenses
  • Support billing dispute resolution and coordinate with Property Managers, tenants, and landlords
  • Review landlord invoices and rental statements for accuracy and compliance with lease terms
  • Calculate leasing commissions, prorated rent, CPI escalations, and other lease-related adjustments
  • Maintain lease files, abstracts, and supporting documentation while ensuring data accuracy
  • Participate in client reporting, monthly meetings, and Lease Advisory initiatives

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Real Estate, or related field preferred
  • One to five years of commercial lease administration experience preferred
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Strong analytical, organizational, and problem-solving skills
  • High attention to detail and accuracy in data entry and financial calculations
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Experience with property management or lease administration software preferred
